How to Invite Team Members

Invite teammates to your Converge workspace from Manage, then Employees: what the invite email says, the 7-day link, the 15-seat cap, and how roles get set.

Where do you invite team members in Converge?

Team invitations live on a single screen — Manage, then Employees, at /co/manage/employees. You reach it from the COMPANY section of the left sidebar: click Manage, then Employees in the menu that opens beside it. Converge has no Settings menu, and the sidebar's Team Chat entry is internal messaging between agents, not the team roster.

Only the Owner can open it. The sidebar marks the Manage entry with an amber star whose tooltip reads "Owner only", and Admins and Agents never see the entry — opening the address directly without the Owner role redirects to the inbox. Inviting is an Owner job in practice, because no other role has a screen to do it from.

What the screen shows. The header reads Team Management. Below it sits a seat counter phrased as "4 / 15 seats used" and an Invite Member button. The body is two tabs, each carrying a live count: Team Members lists everyone who has joined and their role, Pending Invitations lists addresses that have been emailed but have not signed up yet.

On a new workspace there is a second route in. The empty inbox shows a short setup checklist, and its Invite your team card links to this same screen.

How do you send an invitation?

Click Invite Member, type one email address, click Send Invitation. That is the whole form — a single Email Address field. No role picker, no name field, no personal message.

What lands in their inbox. Converge sends one email with the subject "You're invited to join [your company] on Converge". It names your company, offers a single Accept Invitation button, and closes with "This link is unique to you. Do not share it with others." The email does not mention an expiry date, so if the timing matters, say it yourself when you tell them the invite is coming.

The link is good for seven days from the moment you send it. The exact date is printed under the address in Pending Invitations, next to a grey agent badge — every invitation is an Agent invitation.

Why an invitation gets rejected

Two conditions stop an invitation, and the failure toast is the same unhelpful "Unable to invite the member" for both.

  • The address already has a Converge account. Email addresses are unique across the whole product, not per workspace, so an address that belongs to someone else's workspace cannot be invited into yours until it is removed from theirs. There is no path that moves an existing account between workspaces.
  • The workspace is full. Fifteen is the cap, and pending invitations count against it — the counter adds team members to outstanding invitations. Twelve members plus three unaccepted invitations is a full workspace. At the cap the counter gains a red Limit reached badge and the Invite Member button greys out, so this is the one failure you see coming.

What does the person you invited see?

They click Accept Invitation in the email and get a four-screen signup: a welcome, first name, last name, and a summary with a Launch Converge button. There is no password to choose, no company details to fill in, no role to pick and no profile photo step.

Converge signs people in with a code emailed at login, so no password exists to create. That code is not part of accepting an invitation — the unique link is the proof of address on the first visit. The new agent lands straight in the shared inbox, seeing the same conversations as everyone else, and their sign-in lasts 30 days before they need a fresh code.

Three ways the link goes wrong

  • They are already signed in to another Converge account. The link then drops them into their own inbox and leaves the invitation untouched, with nothing on screen to explain what happened. Sign out first, or open the link in a private window.
  • They open the link and wander off. The signup session behind it lasts 15 minutes. Answering the three questions after that window sends them to the login screen instead; clicking the emailed link again starts a fresh session.
  • The seven days ran out. An expired link redirects to the login page with no message, which reads to most people as "the invite worked and I have forgotten my account". Converge has no resend button, so the repair is to revoke the dead invitation and send a new one.

When they finish, everyone holding an Owner or Admin role gets an in-app notification: "New Team Member — [name] has joined the team."

How do you set someone's role after they join?

Everyone who joins by invitation arrives as an Agent — which is why the pending invitation carried that fixed agent badge. Role is something you change afterwards, from the dropdown on the person's row under Team Members. It offers Agent and Admin, and the change applies the moment you pick it.

The person finds out: they receive an in-app notification reading "Your Role Has Changed — Your role has been changed to admin by [your name]." The Owner's own row carries no dropdown and no remove control, and the list offers no way to hand the Owner role to someone else — an ownership change is done by Converge support on the account rather than on this screen.

What each role can reach

  • Agent — Inbox, Resolved, Leads and team chat, plus Replies, Tags, Assets, the widget screen and QR codes. Agents are not confined to a read-only corner of the product; what they cannot reach is configuration.
  • Admin — everything an Agent has, plus Platforms, the AI screen and knowledge base, auto-replies, CSAT and SLA settings, visitor tracking and storage management.
  • Owner — everything, plus billing and the subscription, the Manage area itself (team, company details, sessions, auto-assignment), data exports and employee analytics.

Two limits inside the Admin role are worth knowing before you promote anyone: an Admin cannot promote a second person to Admin, and an Admin cannot remove or demote a fellow Admin. Both are reserved for the Owner. Configuring team roles and permissions covers the boundaries in full.

How do you revoke an invitation or remove a team member?

Revoke cancels an invitation nobody has accepted; Remove takes away someone who has already joined. Revoke sits on every row of Pending Invitations. Remove is the small person-with-a-cross icon on every row of Team Members. Both ask for confirmation, and both free the seat immediately.

There is no resend. If someone lost the email or let the seven days lapse, revoke the invitation and invite the same address again — that issues a new link on a new seven-day clock. Revoking matters for expired invitations too, because a dead invitation keeps holding its seat until it is used or revoked.

The removal dialog reads "Remove Team Member — Are you sure you want to remove [name] from the team? This action cannot be undone." Removal takes effect at once, and the address becomes free to invite again later.

What removal does to their work

  • Their conversations go back to the pool. Anything assigned to them becomes unassigned and stays in the shared inbox — nothing is archived or deleted, but no one owns those threads until an agent picks them up or auto-assignment routes them. Reassigning an agent's open conversations before removing them saves that scramble.
  • Their messages stay, their name comes off. Replies they sent remain in every thread as part of the history and stop being attributed to a person.
  • Some work goes with the account. Quick replies they created are deleted, along with any invitations they had sent that were still pending. Customer notes survive; their name comes off the edit record.

Three guardrails apply: you cannot remove yourself, nobody can remove the Owner, and an Admin cannot remove a fellow Admin. Owners and Admins get a notification afterwards — "Team Member Removed — [name] was removed from the team by [you]."

In practice, only the workspace Owner. The team screen sits under Manage, then Employees, and the whole Manage area is Owner-only: the sidebar entry carries an amber star with an 'Owner only' tooltip, Admins and Agents never see it, and opening the address directly as an Admin redirects to the inbox. Converge's permission checks on the invitation endpoints themselves are looser than the screen and would accept an Admin, but since no Admin has a screen to invite from, inviting, revoking, removing and changing roles are all Owner tasks day to day.

Fifteen, and that figure includes the Owner. It is a fixed product limit rather than a plan tier, because Converge is a single plan at a flat $49 per month for the whole workspace — adding a fourteenth person costs nothing extra. Pending invitations occupy seats: the counter on the team screen adds team members to outstanding invitations, so eleven members plus four unaccepted invitations is already a full workspace. At fifteen the counter gains a red 'Limit reached' badge and the Invite Member button greys out. Revoking a stale invitation or removing someone frees that seat immediately.

A second, much shorter clock runs inside the signup itself: once the link is opened, the session behind the three-question form lasts 15 minutes, so someone who opens the invitation and returns an hour later is sent to the login screen and has to click the emailed link again.

Not directly — Converge has no resend button on the team screen. Revoke the invitation from the Pending Invitations tab and invite the same address again, which issues a new link with a fresh seven-day expiry. The seat count comes out unchanged, since revoking frees the seat and the new invitation takes it straight back. Revoking is also the right move for an invitation that has already expired: an expired invitation keeps occupying its seat until someone either uses the link or revokes it, so a workspace can read as full while several of those seats are dead.

They become unassigned and stay in the shared inbox. Nothing is archived or deleted — the threads, the customers and the full message history remain in place, but no one owns them until an agent picks them up or auto-assignment routes them, so it is worth reassigning an agent's open conversations before you remove them. Replies the person sent stay in every thread as part of the history and stop being attributed to them. What does go with the account: quick replies they created, and any invitations they had sent that were still pending. Their seat frees immediately.
